Employee Relief - Yolanda's Story “Our hospital records kept growing and our space limitations meant we could keep only a year of paper on the shelf. Anything older had to be on microfilm. Because the retrieval, printing and delivery process was so time-consuming, the medical staff knew they had better need a record because my group size was limited. When I heard someone joke that our film archival system was the “Black Hole,” I was embarrassed but I knew there was no way I could get more employees to alleviate this situation. “When I called EDCO, I told them we needed a system that would provide a faster, easier and less time-consuming retrieval method. In fact, I wanted to reduce turn-around time by at least half. “Instead of continuing to convert paper to film, we now use EDCO’s DocuDisk™ scanning services. As time passes, we’ll be pulling more patient histories from the network and less from film. Not only can we find records in a matter of seconds, but we can now fax or route the records electronically to avoid printing. This performs great for release of information or off-site requests. “For on-site requests, EDCO worked with one of our IT managers to evaluate the options of keeping record management in the HIM department or installing it on the hospital network. To maximize efficiency and to provide fast customer service, we opted for the network package [Express Image™]. Now each department directly accesses many of the medical records using secure authorization, which makes them happier and I can put the file clerks on other projects. “And, the annual film conversion budget combined with our savings from the efficiencies gained paid for the changeover to digital records. “I call this win-win-win!” Back to Case Studies main page
