Software Solutions – Bill’s Story

“Our hospital is in the midst of switching to an electronic health record where patient information is entered directly into the on-line chart. Our goal is to eventually be as paperless as possible, but this process is at least a couple of years from completion.

“When the Health Information director asked to come to an IT planning meeting to present the problems they were having with the slow access to microfilm, I reassured her that we would take care of her department but didn’t have the time or budget to try to fit the archives in right now. Microfilm was not in our EHR picture.

“Fortunately, she had met with EDCO and had a very persuasive proposal. She wanted to start with this year’s conversion budget moving the paper records to DocuDisk™ scanned images instead of microfilm. She pointed out the saving in time by retrieving and distributing from a digital source rather than the old reader-printers.

“I agreed to meet with EDCO but warned Angela that we didn’t have time to look for software solutions. She simply smiled.

“I learned that EDCO converts the records into non-proprietary Group IV TIFF images with a CSV database so that fits with our EHR strategy. It made sense to start using her budget now on digital instead of film because more of the current patient histories could be included in the final system.

“EDCO presented us with two software alternatives. One was a PC-based program using CD’s in the HIM department or a network option gave any department access with secure authorization.

“We selected their Express Image™ package buying seats in HIM and ER for 24/7 access to images stored on the network. We were able install each seat in about 30 minutes and the software was so easy to use that it took virtually no training time. Once we have some breathing room, we’ll probably install the network version so that all departments have access.”
